Let’s talk about your business

08 QUESTIONS · PRACTICAL ANSWERS

Getting startedWe know we should look at AI. Where do we start?

Start with a recurring task that takes more time than it should: sorting enquiries, drafting routine replies, organising notes, or preparing an internal summary. You do not need a preferred tool or technical brief. We map the task, identify the slow parts, and decide whether AI, simpler automation, or a better process is the right fit.

Your existing toolsWill we have to replace the software we already use?

Not necessarily. We start with your current tools and the way your team works. Some improvements may use features you already have; others may need a separate subscription or supported integration. We check access, compatibility, and ongoing costs before recommending a setup.

People & responsibilityWill the system do everything automatically?

Only where that is appropriate and explicitly agreed. Drafting a reply and sending it to a customer are different actions. We identify the steps that need human review, who is responsible for approval, and what happens if information is missing. A useful workflow should make responsibility clearer, not harder to follow.

Data & privacyWhat happens to our customer and business information?

That depends on the provider, account type, and configuration. Before using real information, we review what the workflow needs, where data would go, and the available data controls. We avoid adding unnecessary sensitive information and use sample or redacted material where practical. A tool’s privacy settings need checking for the actual setup, not assuming from its name.

AccuracyHow do you stop AI from making up prices or incorrect answers?

We define the approved information it can use and the limits of what it can decide. Prices, commitments, and sensitive decisions may require human approval. We test ambiguous and difficult examples and provide a route to ask for help when an answer is missing. These steps reduce risk, but they do not make AI output infallible.

Cost & scopeCan we try one small project before committing to more?

Yes. A focused review or pilot is often a sensible starting point. We agree on the task, deliverables, responsibilities, and cost, including any separate software subscriptions. The pilot should be narrow enough to evaluate before you invest in a wider rollout.

Measuring valueHow will we know whether it is actually saving time?

We compare the current process with the pilot using agreed measures: time to complete the task, review effort, errors, and useful finished work. We include the time people spend correcting output. If a tool produces drafts faster but creates more checking and rework, that needs to be reflected in the decision.

After the pilotWhat happens when a tool changes or the workflow stops working?

We discuss ownership, documentation, access, and ongoing support before handover. Important workflows need a way to fall back to the original process and a person responsible for checking changes. Maintenance and future improvements are scoped clearly, so you know what support is included and what needs a separate agreement.
